Below we have outlined changes and additions or deletions to our policy handbook since the May 30, 2024 Edition. All of the changes in these policies are policy amendments or additions which were approved at the September 19 & 20, 2024 Board of Directors Meeting. All Policy changes contained within this edition of the member handbook will come into effect today, September 30, 2024.

The Board has adopted the following new policies:

  • Discipline for Complaints Policy
    • This policy replaces the Disciplinary Policy for Complaints and the Disciplinary Measures Policy. For complaints which are already in progress, they shall follow the process which was previously laid out in this policy’s predecessors. Any new complaints filed today, or hereafter, shall be managed under the guidance of this policy.
  • Monetary Credit Policy
    • To provide policy surrounding the carrying of monetary credit balances as a result of overpayment, refund, or monetary credit awarded as part of a contest or incentive program.

The Board has made amendments to the following policies:

  • 21 Day Notice Policy
    • Updated to reflect changes in bylaws.
  • Board of Directors Nomination(s) Policy
    • Updated to reflect changes in bylaws
  • Cannabis, CBD Oil, and Other Cannabis Products Policy
    • Updated language to provide greater clarify
    • Added reference to “and other cannabinoids” throughout the document
  • Client Records Charting and Treatment Notes Policy
    • Changed Language to clarify that this policy does not apply to members who are part of a regulatory body for Massage Therapists.
    • Added language to clarify that therapists are only to release “Copies” of the client record, no the original copy.
    • Added clarifying language that the “information” contained within the client file belongs to the client.
  • Discipline for Non-Compliance Regarding Annual General Meeting Attendance Policy
    • Updated language for better clarification.
    • Removed Procedures
  • Discipline for Non-Compliance Regarding Continuing Education Credits Policy
    • Updated language for better clarification.
    • Removed Procedures
  • Discipline for Non-Compliance Regarding Current Vulnerable Sector Check Policy
    • Updated language for better clarification

The Board has rescinded the following policies:

  • Disciplinary Measures Policy
    • This policy was included as part of the new Discipline for Complaints Policy and was no longer needed as a stand-alone policy.
  • Disciplinary Policy for Complaints
    • Was replaced with Discipline for Complaints Policy
  • Establishment of an Appeals Committee Policy
    • No longer required as the new Discipline for Complaints Policy no longer requires an appeals committee.
  • Establishment of an Investigation Committee Policy
    • No longer required as the new Discipline for Complaints Policy no longer requires an investigation committee.
  • Policy and Procedure Handbook Update and Review Policy
    • This policy was replaced by the Establishment, Revision or Review of Policy, Procedure or Appendix Documents Policy and was no longer needed.

The Executive Director has approved this new appendix:

  • Appendix 7 – Member Complaints Consent Form
  • Appendix 42 – Modalities List for Spa Therapists

The Executive Director has approved amendments to the following appendices:

  • Appendix 5 – Disciplinary Committee Application Form
    • Updated to reflect changes from adoption of the Discipline for Complaints Policy.
  • Appendix 6 – CMMOTA Complaint Form
    • Updated to reflect changes from adoption of the Discipline for Complaints Policy.
  • Appendix 19 – Modalities List for Massage Therapists
    • Removed references to Spa Therapists, as Spa Therapists now have their own Modalities List.
  • Appendix 15 – Massage Therapy Membership Reinstatment Application
    • Updated to reflect Bylaw Changes
  • Appendix 16 – Manual Osteopathic Therapy Membership Reinstatement Application
    • Updated to reflect Bylaw Changes
  • Appendix 23 – Course Developer CEC Course Evaluation Form
    • Updated the bonus offer included with course evaluation.
    • Added consent for email communication options
  • Appendix 34 – Modalities List for Manual Osteopathic Therapists
    • Added language about new Appendix 42 – Modalities List for Spa Therapists

The Executive Director has rescinded the following appendixes:

  • Appendix 7 – Complaints Consent Document
    • This was combined on the Appendix 6 document as part of the update resulting from the new Discipline for Complaints Policy.
  • Appendix 8 – Consent Form to Examine Confidential Information and Treatment Records
    • This was combined on the Appendix 6 document as part of the update resulting from the new Discipline for Complaints Policy.
  • Appendix 10 – Investigation Committee Application Form
    • No longer needed as this committee will be disbanded following the completion of outstanding complaints processes started before the new Discipline for Complaints Policy came into effect.
  • Appendix 11 – Appeals Committee Application Form
    • No longer needed as this committee will be disbanded following the completion of outstanding complaints processes started before the new Discipline for Complaints Policy came into effect.

Additionally, the CMMOTA Bylaws have been updated to reflect the amendments passed at the May 31, 2024 Annual General Meeting, which received approval by Alberta Registries on July 22, 2024. The Fee Schedule has also been updated to reflect recent changes.
