Below we have outlined changes and additions or deletions to our policy handbook since the January 21, 2025 Edition. All of the changes in these policies are policy amendments which were approved at the March 11, 2025 Board of Directors Meeting. All Policy changes contained within this edition of the member handbook will come into effect March 17, 2025.

The Board has made amendments to the following policies:

• Board of Directors Responsibilities Policy

o Removed the reference to Investigation Committee in item 6.a.v. as this was removed at the last AGM from the Bylaws.

o Changed wording in item 7.o. from “nurturing” to “respectful”

• Client Records, Charting and Treatment Notes Policy

o Added “government agencies (e.g. WCB)” under item 9 and added item 11 as related to government agencies.

o Added wording to item 12 to allow for better clarification.

• Discipline for Complaints Policy

o Updated language in item 1.3. for better clarification. New wording “inappropriate or unprofessional”

o Added requirement to refer the matter to the Disciplinary Committee under item 5.4.2.

o Added the word criminal to item 5.4.4.3. to provide clarification.

o Changed the wording in item 5.6.1. to allow for a reasonable period of time rather than within a set number of days.

• Member Examination of Association Books Records and Documents Policy

o Removed reference to procedure.

• Member Initiated Membership Cancellation Policy

o Removed reference to procedure.

o Updated Policy Name in item 6.

• Membership Cancellation Policy

o Added Item 3 which reads: “Membership fees are non-refundable and are considered fulfilled on the first day of the membership period for which they were paid. Therefore, no refund will be provided if a membership is cancelled due to disciplinary action or if the cancellation is initiated by the member.”

o Added clarifying language to item 5.

• Membership Reinstatement Policy

o Removed references to procedures.

o Changed the structure of reference to items within the document.

o Added item 1.b.viii.

o Added a statement under item 3 which covers off a former period of time where disciplinary actions did not include a reference to no change of reinstatement or reinstatement followed by a specific period of time until reinstatement may occur.

• Membership Requirement – Continuing Education Credits Policy

o Removed references to procedure

o Added clarifying statement to item 4.

o Item 13.f. Updated the minimum attendance time, and updated the credits provided for Seminar/Conference Attendance from 1 credit per 4 hours to 1 credit per 2 hours, and removed the maximum credit allowance.

• Membership Requirement – Intermediate First Aid and Level “C” CPR Certification Policy

o Removed references to procedure.

• Membership Requirement – Maintenance of Study Permit Work Permit Policy

o Removed references to procedures.

• Membership Requirement – Maintenance of Valid Professional Liability Insurance Policy

o Removed references to procedures.

o Added language to items 2 and 3 about fulfilling insurance providers requirements.

o Changed language in item 5 to reflect current practices.

o Changed language in item 6 to make it applicable to all therapists.

• Membership Requirement – Membership Fee Payment Policy

o Added language to item 6 to clarify what is to be included in renewal invoices.

o Added item 7 to clarify no refunds on membership renewal following the first day of the membership period.

o Added language to item 9 to provide the Executive Director with additional ability to waive payment or provide full or partial refund.

• Membership Requirement – Other Association Membership Policy

o Removed references to procedures.

• Spa Therapist Receipting for Services and or Products Policy

o Minor cleanup to condense item 4 and 4.a. into item 4.

• Treatment of Family Members Policy

o Update to the name of a referenced policy.

• Treatment of Romantic Partner Policy

o Update to the name of a referenced policy.

o Removed a duplicate “in” from item 1.

• Treatment of Sensitive Areas Policy

o Update to the name of documents referenced.

• Treatment of Spouse Policy

o Update to the name of policy referenced.

• Verbal Abuse Policy

o Added references to abuse through written communication (e.g. email communication and social media).

• Verification of Certificates and Documents Submitted by Members or Membership Applicants Policy

o Removed references to procedures.

• Virtual Consultations and Treatment Policy

o Updated this policy to bring it into the post COVID era.

The Executive Director has made amendments to the following appendix:

• Appendix 8 – CMMOTA Confidentiality Agreement Regarding Membership Participation in the Complaints and Disciplinary Process

o Changed the title of the appendix only.

• Appendix 12 – Informed Consent for Virtual Consultation Form

o Updated to reflect the changes in the Virtual Consultation and Treatment Policy

• Appendix 13 – Virtual Consultation Notes Sample Form

o Updated to reflect the changes in the Virtual Consultation and Treatment Policy

• Appendix 19 – Modalities List for Massage Therapists

o Added clarifying language surrounding stand-alone treatment.

• Appendix 34 – Modalities List for Manual Osteopathic Therapists

o Added clarifying language surrounding stand-alone treatment.

• Appendix 41 – Seminar Conference Attendance Checklist

o Updated to reflect the changes in the Membership Requirement – Continuing Education Credits Policy
